Five-year cost comparison
| Option | Upfront | Ongoing | 5-year total |
|---|---|---|---|
| ProofPOS Venue | $1,290 + $490 install | $0 / month | $1,780 |
| Square for Restaurants (paid tier) | $0 | $69–$129 / month | $4,140–$7,740 |
| Mid-market cloud POS (typical) | $0–$500 | $60–$150 / month | $3,600–$9,500 |
| Square Free plan | $0 | Higher processing fees + cash-handling friction | Often more in real operating cost* |
*Square's free tier has no monthly software fee, but it is not a true zero-cost option for a busy venue. Higher payment processing, card-first workflows, and cash-handling friction often make the real cost materially higher than the headline price suggests.
Where we don't win
We'd rather tell you this than have you find out later. Against Square's paid restaurant tiers or mid-market cloud POS, a one-off licence pays for itself within 12–26 months and then keeps saving you money every month after. Against Square's free tier, there is no software fee to beat, but there is still a real cost: higher payment processing fees, a more awkward cash workflow, and less flexibility when the venue needs a straight-up service till.
If your only priority is the lowest possible upfront cost and you're comfortable depending on an internet connection and a third-party account to run your till, the free tier may look attractive. But for cafe and takeaway owners who need cash-friendly workflows, reliable offline trading, and a system built by people who have actually run a floor, ProofPOS is easier to use in the real world. Square is often designed around card-first operations; ProofPOS was built by people in the industry, not by an accountant or coder who has never stood at a busy register.
Frequently asked questions
Is this really a one-off payment?
Yes. You pay once for the licence and own it. There is no recurring software subscription. Optional paid support after the included 90 days is billed only if and when you use it.
What happens after the 90 days of included support ends?
The app keeps working exactly as it did on day one — nothing is disabled or locked. If you need help after 90 days, remote support is $150/hour and on-site support is a $250 call-out plus hourly rate.
Do I have to buy hardware from you?
No. ProofPOS runs on Android tablets you already own or supply yourself. Bundled hardware is available if you'd rather have it sourced and configured for you.
Can I use my existing EFTPOS provider?
Yes. ProofPOS is not tied to a single payment processor — bring your own terminal and merchant provider.
What if a future version adds new features?
Your licence covers the version you purchased and its updates. Major new feature releases may be offered as a paid upgrade — see our Terms of Service for the full policy.
