Privacy Policy

1. Overview

ProofPOS ("we", "us", "our") is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what information we collect, how it is used, and how it is protected.

ProofPOS is a point-of-sale application for Android tablets. The app stores data primarily on the device itself — your customer records, order history, and financial data are held in an encrypted local database, not on our servers.

2. Information we collect

2.1 Business and contact data (website)

When you submit a contact form on www.proofpos.com.au we collect your name, email address, phone number, and message text. This information is used solely to respond to your enquiry and is delivered to us via Formsubmit (formsubmit.co). We do not sell or share this information with third parties.

2.2 Licence purchase data

ProofPOS is sold as a one-off licence rather than a subscription. Payment for your licence is handled by our payment processor at the time of purchase — we never see or store your full card number. We keep a record of your licence purchase (edition, licence key, and purchase date) so we can confirm entitlement and provide support.

2.3 Customer loyalty and order data (app)

If you enter customer names, phone numbers, or email addresses into the loyalty and customer records feature, that data is stored in an AES-256-GCM encrypted SQLite database on your device. This data does not leave your device unless you explicitly export a backup file.

2.4 Staff PIN data (app)

Staff PINs are stored as one-way hashed values in the local database. They are not transmitted to us or any third party.

2.5 Crash and diagnostic data

We do not currently collect automatic crash reports or analytics from the app. If we add this in future we will update this policy and notify users.

We do not use your information for advertising or marketing profiling.

All POS data (orders, customers, products, reports) is stored in an encrypted SQLite database on your device using AES-256-GCM encryption. The encryption key is held in the device's secure storage (Android Keystore / iOS Secure Enclave). Backup files are additionally encrypted with a passphrase you choose using PBKDF2-derived keys.

We strongly recommend using a device PIN or biometric lock and storing backup files securely.

6. Data retention and deletion

Because data is stored locally on your device, you control retention. Uninstalling the app or clearing app data will remove all locally stored information. Contact us at wayne@proofpos.com.au if you would like us to delete contact enquiry information you have submitted through the website.

7. Your rights under Australian Privacy Law

Under the Privacy Act 1988 you have the right to access personal information we hold about you, and to request corrections. To exercise these rights contact us at wayne@proofpos.com.au.

If you believe we have handled your personal information in a way that does not comply with the Australian Privacy Principles you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

8. Changes to this policy

We may update this policy from time to time. The current version will always be available at www.proofpos.com.au/privacy.html. Continued use of the app or website after an update constitutes acceptance of the revised policy.
